Responsibilities of Public Distribution Team

  • Strategic placement of posters and flyers around the region, placing them in areas for greatest possible exposure so as to saturate area with IWT
  • Recruitment of Distribution Team including youth groups to hand out tickets at schools

Posters:

  • Determine the number of posters being printed from the IWT Coordinator.
  • Obtain a list of participating churches and a list of local schools from the IWT Coordinator. Set aside some group posters for each church and school.
  • Obtain a list of local businesses from the Chamber of Commerce.
  • Create a map with all the churches.
  • Go through the list of businesses and choose the most appropriate businesses for each poster. Posters should be placed in businesses that serve the main audiences of each team
Team specific placement:
  • Team Xtreme International – primary audience is men
    • Fast food restaurants
    • Gyms
    • Sports places
    • Gas stations
    • Bars
  • GX International – primary audience is kids and teens
    • Fast food restaurants
    • Theaters
    • Malls
    • Arcades
    • Skate Parks

  • Island Breeze – primary audience is moms, families, and seniors
    • Doctor and dentist offices
    • Daycares
    • Senior centers
    • Grocery stores
  • Recruit and schedule teams to put up posters, many times youth groups will help with this.
  • Divide the region into sections and assign a team to each section.
  • Communicate with the Publicity Team Leader to see when the posters will be in the office.
  • Organize volunteers to count and organize the posters for each section.
  • Teams should have posters up 2-3 weeks before the events. You might have to cover the area more than once to replace posters pasted over by other events or restock packs of tickets in local shops.
  • When placing posters, be sure to:
    • Dress neatly.
    • Bring along tape and tacks to put up posters.
    • Approach businesses with a polite request to place a poster on their entry door or window or on their bulletin board. Thank them for their assistance.

Tickets/ Flyers

  • Contact the IWT Coordinator to determine the number of tickets being printed for distribution and when they will arrive (usually about 2-3 weeks prior to the first event).
  • Check to see if tickets can be handed out at the local schools. Recruit youth from the approved schools to hand tickets out at school.
  • Contact local restaurants, gas stations and shops to see if they would allow you to put stacks of tickets on their counters or if they would be willing to hand out tickets (e.g. Dairy Queen and Sonic have put tickets in every to go bag).
  • Obtain a list of school assemblies from the IWT Office including expected attendance at each. There should be enough tickets at each assembly to hand one to each student.
  • Recruit volunteers to count and organize tickets for each church, school assembly, restaurant, and youth group (a counting scale can be handy).
