Security Captain

cautionPlease note: These job descriptions were composed for medium to large sized outreaches with Impact World Tour. For smaller events not all positions or simplified procedures might be required, please apply common sense in determining the needs for your community.

Responsibilities of Security Captain

  • Liaise with any paid security
  • Arrange for safekeeping of equipment at venue
  • Add volunteer security during events for crowd control
The Security Captain is responsible for safekeeping of equipment and dealing with crowd problems. In most cases Impact World Tour will hire a security company, but we will need additional security volunteers to add to their numbers.

Prior to the Event

  • Ask the IWT Coordinator how many security ushers/stewards will be needed for the event.
  • Recruit the needed number of security ushers/stewards – ideally guys who have some experience (police, fire brigade, bouncers…). Ushers/Stewards should arrive 30 minutes early to receive instructions.
  • Consult with IWT Coordinator in regards special requirements of the venue and expected type of crowds.
  • Visit the venue with the IWT Coordinator and Usher/Stewards Team Leader to determine the locations for Security Check-In. Especially note:
    • Does the venue have an agreement with a security company that we have to honor? If yes, get their details and what procedures need to be followed.
    • Can we add to their numbers with volunteers?
    • Have they had problems with violence at the venue in the past?
  • Secure a drawing of the venue layout or create one. Mark emergency exits, a potential safe room and location of first aid.
  • In consultation with the IWT Coordinator contact security companies and procure quotes. Ask similar questions to the ones asked at the venue.
  • In consultation with the IWT Coordinator contact public services like Police, Fire Department and Emergency and inform them of the event. Enlist their help and ask for their input.
  • Obtain a list of all recruited security ushers/stewards . Contact each usher to determine his or her availability for event nights (e.g. will they be an usher/steward on 1,2,3, or 4 nights). If they have some qualifications like being part of a police force, ask them if they are permitted to come in uniform.
  • In consultation with the hired Security assign security ushers/stewards to each of their positions. Some will be stationary, some will be moving around.
  • Recruit volunteers for Security Usher/Stewards Check-In. These volunteers will need to have a map with all positions marked. Each night after the event they should re-organize the Check-In table.
  • Schedule Security Usher/Stewards Training at the venue before the events. Show the ushers/stewards where they will be checking in and their responsibilities during the evening.
  • In General only the hired security will have hands-on dealings with members of the public. Security ushers/stewards should not engage in any activity where they would have to touch someone.

Items needed

  • High visibility vests – may say “Security”, but only give it to a person if they are able to really fill a role. Otherwise have them look like regular Ushers/Stewards .
  • Bright Flashlights
  • 2-way radios (enough for main guys, IWT Coordinator and Tour Director)
  • Mobile Phones to call emergency services

Each Night of the Event

  • The Security Usher/Stewards Check-In table should be ready 90 minutes ahead for check-in.
  • As ushers/stewards check in, they should receive a nametag, a high visibility vest and anything else they might need for the night.
  • Assign some Ushers/Stewards to stationary positions like the entrance to the backstage area and around the Altar call area (they need to listen to instructions from the stage on when to open the access to that area.)
  • All security ushers/stewards should attend a briefing 1 hour before the event starts. This is usually done by the hired security, with help from the Security Captain.
  • As you patrol the vicinity check nooks and dark places. Check in with every usher/steward you encounter, especially the stationary ones.
  • Deal with situations as they arise – remember, only hired security should deal with the public hands on.
  • If there was an incident, please file in an incident report.
  • Return to the desk and check out.
